HaileyAI Privacy Policy

HaileyAI Corporation (“HaileyAI,” “we,” “us,” or “our”) values your trust and is committed to protecting your privacy. This Privacy Policy describes how we collect, use, store, and share information in connection with our services, websites, and related platforms.
By using HaileyAI’s services, you consent to the practices described in this Privacy Policy. If you do not agree, you should not use the services.
1. Scope
1.1 This Privacy Policy applies to information collected through:
(a) HaileyAI’s website (gohailey.ai and all subdomains);
(b) AI-powered call handling and automation services;
(c) integrations, APIs, and reporting tools;
(d) customer support and sales interactions; and
(e) data breach notifications, as described herein.
1.2 This Privacy Policy is incorporated into and governed by our Terms of Service. Customer data processing may also be supplemented or governed by a Data Protection Addendum (“DPA”), Master Services Agreement (“MSA”), or Statement of Work (“SOW”), as applicable.
1.3 In the event of a data breach in which personal or business information is compromised, HaileyAI will notify affected customers without undue delay, in accordance with applicable law, and will cooperate with customers to assist with compliance obligations.
2. Information We Collect
2.1 Business and Account Information. We may collect company name, contact details, registration data, and billing details.
2.2 Call Data. We may collect audio recordings, transcripts, caller identification, call duration, and related metadata required for providing call automation services.
2.3 Technical and Usage Data. We may collect device and browser information, IP addresses, system logs, and integration activity.
2.4 Communications. We may collect messages, support requests, and feedback that you provide to us.
2.5 HaileyAI does not knowingly collect information from children under the age of sixteen (16).
3. How We Use Information
3.1 HaileyAI uses collected information to deliver, maintain, and improve services, process transactions and billing, provide technical support, improve AI accuracy and reliability, monitor system health, prevent fraud and abuse, and communicate service updates.
3.2 HaileyAI does not sell personal or business information.
4. Sharing of Information
4.1 HaileyAI may share information with carefully selected subprocessors and service providers that support delivery and improvement of the services, including for call processing, hosting, backups, analytics, success-rate monitoring, and uptime management.
4.2 All data provided to subprocessors is encrypted and tokenized, and HaileyAI retains exclusive custody of encryption keys. Where processing by a large language model (“LLM”) is required, data is securely tokenized before transfer, detokenized only during model execution, and re-tokenized immediately thereafter. HaileyAI does not permit Customer Data to be used for training third-party models.
4.3 Subprocessors are contractually required to adhere to confidentiality, security, and compliance standards that are at least as rigorous as those maintained by HaileyAI. Subprocessors are prohibited from using customer data for any purpose other than fulfillment of their contractual obligations to HaileyAI.
4.4 HaileyAI does not collect or store data solely for the purpose of complying with California-specific AI laws or mandates. Instead, HaileyAI commits to compliance with all applicable state and federal data protection and AI laws, including California’s AB 1008, AB 2013, SB 942, and similar frameworks, and will update its practices and disclosures as laws evolve.
4.5 HaileyAI may also disclose information when required by law or valid legal process, when necessary to protect the rights or safety of HaileyAI, its customers, or the public, or in connection with a corporate transaction such as a merger, acquisition, or financing.
5. Data Security
5.1 HaileyAI implements administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, misuse, or disclosure. These safeguards include encryption in transit and at rest, access controls, authentication, and continuous monitoring for vulnerabilities.
5.2 All data shared with subprocessors is encrypted and tokenized, with encryption keys maintained exclusively by HaileyAI. Personal data is never disclosed in clear text except where temporarily necessary for LLM processing that enables AI functionality.
6. Data Retention
6.1 HaileyAI retains information only as long as necessary to provide services, comply with legal or regulatory obligations, resolve disputes, and enforce agreements.
6.2 Retention periods for call recordings and logs may vary depending on the applicable customer contract.
7. Your Rights
7.1 Depending on your location, you may have rights to access, correct, or delete your personal data; request a copy of your data in portable format; restrict or object to certain processing; and opt out of marketing communications.

8. International Data Transfers
8.1 HaileyAI is headquartered in the United States. All data is stored and processed exclusively within the United States.
8.2 HaileyAI does not transfer or host customer data outside of the United States. If this practice changes, this Privacy Policy will be updated and affected customers will be notified in advance.
9. Changes to This Policy
9.1 HaileyAI may update this Privacy Policy from time to time. Updates will be posted with a new Effective Date.
9.2 Material changes may also be communicated to customers by email or service notification.
